Guest Arrival & Ceremony Information – Schaefer Farms

We are excited to welcome you to a beautiful outdoor celebration at Schaefer Farms. Upon arrival, guests will be directed to our wooded ceremony space, where seating is arranged among the trees for a naturally stunning backdrop.

Guests may arrive up to 30 minutes prior to the ceremony start time and will be seated upon arrival. 

Please note that the ceremony area is outdoors on a gravel surface with natural woodland terrain, which is not fully level. We encourage guests to dress comfortably and appropriately for both the weather and ground conditions (heel protectors or suitable footwear are recommended).

For the safety of our guests and to help preserve the property, we ask that all guests remain within the designated event areas throughout the celebration. Areas outside the event space, including private property and neighboring farm areas, are not accessible to guests. 

Following the ceremony, festivities continue in our barn, which features large open doors that connect to our courtyard, firepit, and garden areas. The barn is designed to embrace the outdoors, so temperatures inside will naturally reflect the season — whether that means warm summer breezes or crisp autumn air.

We recommend checking the forecast and dressing accordingly so you can fully enjoy the celebration in comfort.

Any optional selections can be added to these packages.  

We offer some additional selections that can be added. Please see our "Optional Selections" menu. We do not require you to use our items, and we do not require you to get ready here, these items are offered for your convenience so it's less you have to do on the big day! The balance of any optional items are due 60 days prior to the big day.

Dates will be filled on a first come/first serve basis.

Yes, there is a $1000 non-refundable deposit. Balance is due 60 days prior to your wedding date.

We can also break out the balance into payments if it makes it easier for you to budget!

The deposit to hold the venue is non-refundable because the date is removed from our available dates for other couples. We do allow you to reschedule one time with no fee or penalty. The new date selection must be made at time of cancellation. Please review our contract found directly on our website.

We wish we could control the weather....but we can't!

You have the option to have the ceremony in the outdoor location, or inside the barn. 

You will be given access to the event beginning at 9 am and will have access until 10:30 pm. DJ must be done playing by 9:45 pm on Friday and Saturday's and 9:15 pm during the week and Sunday's.

The timeframe is strict, please let your friends/family know that we will unlock everything for access at your scheduled time only.

Schaefer Farms allows couples the flexibility to bring in their own alcohol for their event. For guest convenience, many couples choose to incorporate a bar setup or service option.

Beer, wine, and similar beverages may be offered in a self-serve format.

For events including liquor or mixed drinks, service must be handled by a licensed and insured bartender to ensure safe and compliant service.

Schaefer Farms offers a Full-Service Bartending Package for couples who prefer a simple, coordinated option. 

Couples are also welcome to bring in their own licensed and insured bartender or bartending service if they choose.

Our outdoor bar space is available as a rental option for those looking to create a dedicated bar experience. Alcohol service from this area is intended to be operated by a licensed bartender.

The ceremony will be held at Schaefer Farms, Burbank Ohio, in a scenic wooded area. 

No. Schaefer Farms does not have a backup generator. While power outages are very uncommon, we recommend that couples discuss contingency plans with their vendors for any services that rely on electricity. 

No. We do not have a freezer on-site.

We do provide a walk-in cooler for your use on the day of your wedding. It's perfect for keeping beverages, cupcakes, fruit, vegetables, flowers, and other items cool until they're ready to be used. NO ICE IS PERMITTED IN THE COOLER.

Please note that our cooler is not monitored or certified to maintain food-grade temperatures, so it should not be used for long-term storage of perishable foods.

Additionally, overnight food storage is not permitted. While we've never had an issue with wildlife getting into anyone's food, this is still an outdoor venue—and we'd rather not have your wedding be the story we tell! 😊

No. We do not have running water in the barn, nor do we have a prep kitchen.

All food should arrive fully prepared and ready to serve. If your caterer is using chafing dishes or requires water for food service, they should plan to bring an adequate supply with them.

Our venue is designed to accommodate caterers serving prepared food rather than preparing meals on-site. We recommend that your caterer visit the venue ahead of time if necessary so they can plan accordingly.

 At Schaefer Farms, you're welcome to choose any caterer you'd like—or even prepare your own food if that's what works best for you.

We're happy to help coordinate your caterer's arrival and setup to ensure everything runs smoothly.

If you plan to prepare and serve your own food, we simply ask that you discuss your plans with us in advance. We'll work with you to coordinate food drop-off and setup so it doesn't interfere with your ceremony, cocktail hour, or guest experience.

Please Note:

• We do not allow crockpots or electric roasters, as the available electrical service may not support multiple high-powered appliances. 
• We highly recommend using chafing dishes to keep food warm throughout your reception. 
• All food should arrive fully prepared, as we do not have a prep kitchen on-site.
• Schaefer Farms does not provide serving utensils, plates, silverware, cups, or other food service items. These items should be supplied by you, your caterer, or your rental company.

We provide the beautiful setting, helpful planning resources, and optional services to make planning easier, while giving you the freedom to create a celebration that's uniquely yours.

Great question! The answer really depends on how involved you'd like us to be.

Every wedding at Schaefer Farms includes our team setting up the tables and chairs according to the floor plan you choose before your event begins. Throughout the day, we'll also take care of things like emptying trash, restocking the restrooms, and providing general venue support to help keep everything looking great.

When it comes to your personal décor and reception details—things like centerpieces, favors, guest book, dessert table, filling coolers, setting out cookies, or making sure everything is ready for cocktail hour—you have two options:

✔️ Add our Day-of Coordinator package and let us handle those details for you.

✔️ Create your own "wedding team." Many couples ask family members, friends, or members of the bridal party to each take on a few simple responsibilities.

The biggest key to a stress-free wedding day is simply having a plan. Decide ahead of time who will:

• Set out décor 
• Fill beverage coolers 
• Set up desserts or cookies 
• Place centerpieces 
• Handle any last-minute touches before guests arrive 

We'll go over all of this with you during your planning meetings so everyone knows what to expect and your day runs as smoothly as possible.

Yes, absolutely! 

Yes, you can purchase event insurance through many locations, below is a link to one that we have found easy to navigate. Insurance must be purchased, and we must receive a copy of the policy 7 days prior to the event.

To ensure a smooth and organized experience for all couples, rehearsals at Schaefer Farms are scheduled as follows:

All rehearsals are held on Thursday prior to your wedding weekend. This allows us to accommodate all couples in an efficient and structured manner.

Please note that multiple couples may be onsite for rehearsals during this time. Shared spaces, including restrooms and transitional areas, may be used by more than one party.

Couples with Friday weddings have access to an optional extended rehearsal and setup window from 5:00 PM – 8:00 PM.

• 7:00 PM – 8:00 PM: Ceremony space access for rehearsal
   
• 5:00 PM – 8:00 PM: Access to courtyard, barn space, and bridal suite for continued rehearsal and/or light setup
   

This extended time allows couples the opportunity to both rehearse and begin preparing for their wedding day if desired.

Rehearsals for Saturday weddings are scheduled from:

• 6:00 PM – 7:00 PM
  Access is limited to the ceremony space only
   

Rehearsals for Sunday weddings are scheduled from:

• 5:00 PM – 6:00 PM
  Access is limited to the ceremony space only
   

• Rehearsal times are scheduled to ensure fairness to all couples and must be adhered to.
• The venue is considered a shared environment during rehearsal day, and we appreciate your understanding and respect for other couples onsite.
• Access outside of your scheduled rehearsal time is not guaranteed.
• Please let your rehearsal party know not to arrive more than 15 min before the scheduled time. The time is strict to allow all weddings to have access to the ceremony space during their scheduled times.
   

Rehearsals that have already been scheduled outside of this structure will be honored as confirmed.
